AI isn’t just for polishing emails (though I’ll admit I’ve used it for that plenty of times). There’s a lot of talk about what AI might do, but not enough about how to actually use it in meaningful, everyday ways. Most articles and webinars promise big results but skip the “how.” And by the time you sit down to explore it, the day-to-day work has usually taken over.

Rather than add to the noise, I want to share one real example of how we use AI here at CaptureRx to improve our services for customers and save valuable time internally.

Step One: Find Your AI Champion

The first step is simple: identify someone in your organization who enjoys testing new tools and staying current on trends. AI changes constantly, and it helps to have a go-to person who can explore use cases that actually make sense for your team. Some organizations are creating dedicated AI roles within each department, but that isn’t required. You can start by reviewing your own daily processes and asking, What’s repetitive or time-consuming that could be automated?

Here’s something that’s often overlooked: many “AI” solutions are really just smart automations. They’re not necessarily new, but they’re still incredibly useful.

A Real Example: Monitoring Manufacturer Blocks

At CaptureRx, we’re a small, efficient team based in San Antonio. That size has advantages, but it also means we need to be thoughtful about how we spend our time. One ongoing challenge has been tracking manufacturer block updates. These updates are constantly changing, spread across multiple sources, and often posted in formats that take time to review.

One of my colleagues was doing an excellent job keeping up with them, but it was taking hours each week. These are valuable hours that could have been spent supporting customers in other ways. We decided to break down the process: identify where updates are posted, capture and log the information, and notify internal teams and customers. Once we mapped out each step, it became clear this was a great opportunity for automation.

Implementation and Results

We used an AI program called Perplexity to monitor a list of websites that announce manufacturer block updates. It took a few rounds of refinement, adding steps to open PDFs, check dates, and verify accuracy, but after some testing, it worked exactly as needed. Now, every week, the tool emails our team a summary of any new updates. We also run the same task in ChatGPT to double-check results and make sure nothing slips through.

We like to think of AI as an enthusiastic intern: eager to help, but in need of clear direction. Once we fine-tuned the task, it ran smoothly, and what used to take hours now happens automatically. That small setup, which took only a few hours to implement, now saves our team several hours every week.
